HE: Retaining Time & Attendance Records

Applies to: Hotels using PerfectTime (Hotel Effectiveness time & attendance service) 

It is important to retain historical records of employee hours worked, as well as who edited their punches. Our time & attendance system provides a variety of reports to meet your company needs. Below are some of the most popular reports :

1. Time Cards
2. Summary Report
3. Audit Log

Time Cards

You can pull employee time cards for selected date range.

1. Select Time & Attendance on the left main menu in Hotel Effectiveness.
2. Select Time Cards on the Time & Attendance main menu.
3. Select the desired date range (if you are doing a year or more, you may need to break it into smaller segments of time).
4. Click Show Activity.
5. Scroll down to see the section for Print All Time Cards.
6. Select one of the options: Alphabetically, By Department, or By Location. (this will depend on how you would like them sorted).
7. Right click on the page and select Print.
8. Send the document to your printer or save as PDF.
    

Summary Report

This report shows the total hours and earnings (broken down by category) for each employee for the selected period. 

1. Select Time & Attendance on the left main menu in Hotel Effectiveness.
2. Select Reports on the Time & Attendance main menu.
3. Select Summary Report.
4. Select desired options for the report (if you are doing a year or more, you may need to break it into smaller segments of time).
5. Click Run Report.
6. Click the Print button at the top of the page.
7. Send the document to your printer or save as PDF.
    

Audit Log

The Audit Log is searchable by:

• Pay Period
  • You can only pull back two years of punch audit data
  • If you are pulling a year or more, please break it into smaller segments of time
• Employee Name
• Home Department
• Home Location
• Home Supervisor
• Login of the person who made the edits.  

If you leave the Employee name and Login blank, all employee edits will be returned for the time selected. If Department, Location, or Supervisor is selected, all edits for the selected value and date range will be returned.

1. Select Time & Attendance on the left main menu in Hotel Effectiveness.
2. Select Reports on the Time & Attendance main menu.
3. Select Audit Log Report.
4. Select desired options for the report.
5. Click Run Report.
6. Click Export to PDF or Export to CSV at the bottom of the page.
