Use this workflow to set up staffing guidelines for hotel positions based on occupancy, revenue, or other business drivers.
Before you begin...
- You need Edit Labor Standards permissions. If you cannot see Add or View/Edit links, reach out to your account administrator to adjust your settings.
- Must be logged into the Web Portal.
- Identify your target metric (e.g., Minutes Per Room or Fixed Hours) before you begin.
- Missing a position? Add it under Settings > Position Setup before editing your standards.
- Leave the end date blank unless the standard is temporary or seasonal.
Steps
Navigate to Labor Plans > Edit Labor Standards.
- Select your property from the dropdown menu.
- Choose how you want to build your standard:
- Select Add a New Labor Standard to create a baseline standard for a specific position.
- Select Copy from Template/Existing Hotel to mirror another property's standards.
- Select Convert Annual Budgets to generate standards from existing financial totals.
- Locate your target position (e.g., Room Attendant) in the list and click Add or View/Edit in the Action column to modify an existing position.
To configure a specific position, follow the steps below to configure a Fixed, Variable, or Housekeeping standard.
How to Configure Fixed Standards
Use this configuration for roles where labor hours remain consistent regardless of business volume (e.g., General Manager, Executive Office, or salaried administrative roles).
- From the Labor Standard Editor, select a Position from the dropdown menu.
- Set the Standard Hours:
- Choose the option, No, it is Fixed.
- Under “What kind of employee works this position?”, select Hourly or Salaried (e.g., select Salaried and enter 1 under FTEs or Full-Time Employees).
- Define the scheduled hours in the daily grid. Choose either:
- Daily Average: Divide the standard weekly hours across all 7 days (e.g., enter 5.71 hours daily for a 40-hour work week).
- Day-Specific Hours: Enter specific hours per day (e.g., enter 8 hours per day Monday through Friday, and 0 hours for Saturday and Sunday).
- Set the Standard Rate:
- Enter the Standard Wage per Hour or select Fill in the Plan Wage with the Current Average Wage.
- Set the Effective Dates:
- Set the Start Date. Leave the End Date blank so the standard remains active year-round.
- Add Labor Plan Notes (Optional):
- Input any administrative notes to document the setup or changes for this standard.
- Select Save Now.
How to Configure Variable Standards
Use this configuration for roles where hours fluctuate based on business volume (e.g., Banquet Servers or Breakfast Attendants).
- From the Labor Standard Editor, select a Position from the dropdown menu.
- Set the Standard Hours:
- Choose the option: Yes, it is Variable.
- For what do you want to base your standards on? Select your specific Business Driver from the dropdown menu (e.g., Percent Occupancy or Banquet/Catering Covers).
- Choose your day metric timing: Same Day (Most Common), Previous Day, or Next Day.
- Under What would you like to use to calculate your standard hours? Select your calculation rules (e.g., select Set Hours within Tiers based on Banquet/Catering covers (Same Day).
- Set Up Tiers for your Business Drivers: All tiers must be continuous (e.g., Tier #1 is 0 to 70, Tier #2 is 70 to 120, etc.). Note: If the actual volume hits an exact boundary value, the system will automatically apply the higher tier.
- Enter your volume ranges in the Tier Minimum and Tier Maximum fields.
- Enter the associated hours in the Daily Hours field.
- Note: If you need to set different hours depending on the day of the week, click on the Customize Standard Hours by Day of Week link.
- Set the Standard Rate: Enter the Standard Wage per Hour or select Fill in the Plan Wage with the Current Average Wage.
- Set the Effective Dates:
- Enter the Start Date.
- If configuring for specific temporary shifts (such as a summer convention season), enter the appropriate End Date (e.g., June 1st through September 30th). Once this time frame expires, the system automatically reverts to the previous labor standards.
- Add Labor Plan Notes (Optional):
- Input any administrative notes to document the setup or seasonal changes for this standard.
- Select Save Now.
How to Configure Housekeeping Standards
Housekeeping uses variable logic based on the actual room types and the specific clean types completed daily.
- From the Labor Standard Editor, select a housekeeping position (e.g., Room Attendant) from the dropdown menu.
- Set the Standard Hours:
- Choose the option: Yes, it is Variable.
- Under What do you want to base your standards on? Select your desired Housekeeping Clean Type from the list (e.g., Checkout, Stayover, Deep Clean, or DND).
- For What would you like to use to calculate your standard hours? Select your desired calculation method:
- Day of the Week Specific Minutes Per [Clean Type]: Sets different cleaning times for weekdays vs. weekends. (Ex: Enter 15 minutes in the Mon-Fri fields and 25 minutes in the Sat-Sun fields).
- Minutes Per [Clean Type]: Sets a flat target cleaning time across all seven days (e.g., enter 25 minutes).
- Set the Standard Rate:
- Enter the hourly wage in the Standard Wage per Hour (e.g., 12.50) input field, or select Fill in the Plan Wage with the Current Average Wage.
- Set the Effective Dates:
- Enter the Start Date when the new standard becomes active.
- Check the No End Date box if this is a permanent standard, or uncheck it to select a custom end date if it is seasonal.
- Add Labor Plan Notes (Optional):
- Use the optional Notes field to document the reasoning or metrics behind this standard configuration (e.g., “Adjusted standard times for summer convention season”).
- Select Save Now.
The Result
The position will display the new standard within the Labor Standards Editor. The system will now generate Plan Hours for this position based on daily operational data.
Troubleshooting
If this fails...
- If a position is missing from the list, you must first add it under Settings > Position Setup.
- If the Add or Edit links are missing, verify your user permissions with your Account Administrator.
