This reference section defines how the system calculates the mix of clean types (e.g., 75% Checkout / 25% Stayover) to accurately forecast future cleaning needs.
The Context
These calculations are performed each night and appear in Scheduler > Forecast (Step 1). They predict not just total rooms to be cleaned, but the specific volume of each clean type, which drives the number of labor hours generated by your Labor Plan.
The Data
| Component | Definition | Calculation Logic |
| Lookback Period | The timeframe used to analyze trends. | The system analyzes the past 56 days (8 weeks ending yesterday) of actual data from Night Audit Entry. |
| Day of Week Logic | Comparison day-to-day. | Mixes are calculated by specific Day of Week. For example, the previous 8 Mondays are averaged to forecast next Monday’s mix. |
| Clean Rate % | The ratio of rooms cleaned vs. rooms sold. | (Actual Cleans / Rooms Sold). If historically 95% of rooms sold are cleaned on Mondays, a forecast of 100 rooms sold will project 95 cleans. |
| Clean Type Mix | The breakdown of specific clean tasks. | Calculated as a percentage of actual rooms cleaned. (e.g., if 80 rooms were cleaned and 60 were checkouts, the Checkout Mix is 75%). |
| Forecast Application | The final projected volume. | Step 1: Forecasted Rooms Sold x Clean Rate % = Total Forecasted Cleans. Step 2: Total Forecasted Cleans x Clean Type Mix % = Specific Clean Type Volume. |
Optional "Top Up" Settings
The system uses different logic to apply the mix to your forecast based on this setting:
- No Top Up (Default): Assumes the clean type mix will total the historical percentage of actual rooms cleaned (e.g., 80% of rooms sold). This is the most accurate for modern cleaning cadences.
- Total Cleans (Rare): Forces the mix to total 100% of rooms sold, regardless of historical clean rates.
- Warning: This setting can significantly inflate required labor needs if your hotel rolls rooms or cleans every "x" days.
- Note: This setting must be changed by the Actabl Support team.
Limits
- New Clean Types: If you add or change a clean type, the system requires at least 7 days (1 week) of history before the mix percentage will recalculate.
Data Gaps: Dates with "null" values (no cleans entered or no rooms sold) are automatically excluded from the 8-week average calculation to prevent skewed data.
