To ensure you have the data you need to manage your labor costs and payroll efficiently, our system offers a wide range of reporting options. If you find that you need a specific view of your data that isn’t currently in your dashboard, use this guide to help us build the perfect report for you.
Step 1: Check Existing Templates
Before requesting a new report, please review the Payroll Reports already available in the system. We maintain a library of over 100 templates that cover the vast majority of hospitality needs.
- If you find a match: You’re all set!
- If you find a "near match": Note the name of the report and tell us exactly what columns or groupings you would like to add or remove. This is the fastest way to get a new report live.
Step 2: Defining a New Custom Report
If none of the existing templates meet your needs, we can build a custom report for you. To do this, we need to understand two things: your Rows (how data is grouped) and your Columns (the specific data points).
Please provide the following details in your request:
1. The Basics (Filtering)
- Include Salary Employees? (Yes / No / Default to No but changeable)
- Include Contractors? (Yes / No / Default to No but changeable)
2. Defining Your Rows (Grouping)
The "Rows" determine how the data is summarized. Please specify how you want to see the following:
- Timeframe: Do you want one row per Date (showing daily activity), or one single row per employee for the Total Date Range selected?
- Earning Codes: If an employee has both Regular and Overtime hours, should those be on separate rows, or combined into one row with different columns for each?
- Labor Dimensions: If an employee works in multiple Hotels, Departments, or Positions, should the report create a separate row for every change, or roll them up into one total?
3. Defining Your Columns
List the specific headers you want to see from left to right. Common examples include:
- Employee Info: Name (First/Last), Employee ID (HEID or External EEID).
- Work Info: Hotel Name, Department, Position Name, or Standard Position Code (e.g., HKATTD).
- Payroll Data: Earning Code, Export Mappings, Hours, and Wages.
- System Data: Run Date, Date Range Start/End, or Punch Date.
4. Formatting & Technical Preferences
To ensure the report exports correctly into your accounting or payroll software, please specify:
- Date Formats: (e.g., MM/DD/YYYY or DD/MM/YY)
- Rounding: How many decimal places are required for hours and wages?
- Midnight Shifts: If an employee works past midnight, should those hours be attributed to the day the shift started or the day the shift ended?
Request Checklist
When you submit your request to our support team, please include the following:
- Name of a similar existing report (if applicable).
- A sample layout (a simple Excel mockup or a bulleted list of columns).
- The "Row Logic" (e.g., "I want one row per employee, per day, per earning code").
Note: Providing these details in your initial request helps us bypass the "discovery" phase and move straight to building your report, getting your data to you much faster!
