The Context:
- This reference outlines system requirements, defaults, and data behaviors for the Absence Monitor tool within Hotel Effectiveness. Absence Monitor provides a centralized repository for your management team to track and document employee tardiness and absences.
The Data
Feature | System Behavior |
|---|---|
User Access | The Can Access Absence Monitor permission box must be checked in User Administration to view and edit items. Managers can only see employees in their assigned departments. |
System Costs | There is no additional cost for using the Absence Monitor. |
System Triggers | To automatically identify attendance issues, the hotel must enter schedules in Hotel Effectiveness and their time clock data must include 'in' and 'out' punch times. |
Default Categories | Absence Monitor features three default categories: Late, Absent - No Call, and Absent - Call In. |
Export Options | Attendance reports can be exported by selecting the red PDF icon or the green Excel icon. |
Time Card Corrections | If an employee's time card is corrected (e.g., to fix a missing punch), the Absence Monitor will update the next time the Time & Attendance system syncs. |
Limits
- Late Employee Threshold: By default, employees who appear to be more than 15 minutes late for their first shift of the day will be flagged as 'Late'.
- No Show Employee Threshold: Employees who appear to be absent for a scheduled shift will automatically be flagged as a 'No Show' for the past week (7 days).
- Report Date Limits: The Absence Monitor - Employee Details report allows a maximum reporting date range of up to 90 days. The Summary by Employee report allows a maximum reporting date range of up to 45 days.
- Duplicate Issues: If an employee already has an issue manually recorded for the day, they will not appear on the Possible Late/No Show page again for the same day.
