Use this workflow to set up revenue items or operational metrics (Drivers) for use in Night Audit Entry and Labor Plans. Business Drivers allow the system to calculate accurate revenue reporting and generate staffing "recipes" for your property.
Before You Begin
- Permissions: Requires Hotel Admin or "Edit Hotel Settings" permissions.
- Selection Logic: * Single Driver: Use for individual revenue items (e.g., Breakfast Revenue).
- Driver Group: Use to sum multiple drivers for a labor plan basis (e.g., Total Restaurant Revenue = Breakfast + Lunch + Dinner).
Step 1: Access Business Driver Setup
- Hover over the Username Menu (top right) and select Settings.
- Under the Standards/Business Drivers heading, select Business Driver Setup.
- Select the applicable Hotel from the dropdown menu.
Step 2: Add a New Business Driver
If you need to create a metric from scratch:
- Click the blue Add New Business Driver link.
- In the pop-up, choose Create New Custom Business Driver.
- Enter the Name, Category, Type, and Format (Number or Currency).
- Set Include in Forecast to Yes if this driver will be used to generate labor hours in the Scheduler.
- Click Save.
Step 3: Copy Drivers from Account or Other Hotel
To ensure consistency across your portfolio and save time:
- On the main setup page, click Copy Drivers from Account/Existing Hotel >>.
- Select the Source (Account List or a specific existing hotel).
- (Optional) Check Copy Revenue Sync Mapping only if both hotels use the same 3rd Party Revenue system.
- Click Preview Now.
- Check the boxes for the drivers you wish to add and click Copy the business drivers.
Step 4: Create a Business Driver Group
Use this to aggregate multiple metrics into one "Total" for labor standards.
- Scroll to the Business Driver Groups section at the bottom of the page.
- Click Add New Business Driver Group.
- Enter the Group Name and Description.
- Highlight the desired drivers in the Active list and click the > button to move them to the Assigned container.
- Click Save Now.
Success Check
- Validation: The new driver or group will appear in Night Audit Entry for data collection.
- Visibility: To verify if a labor plan is using a group, look for a link in the Standard Hours column of your Labor Standards view.
Troubleshooting & Limitations
- Driver Missing from Group List: Ensure the individual driver is active for the hotel first. Check the Show Inactive box in the main list to verify.
- RevSync Errors: Do not copy RevSync mappings between hotels with different PMS providers (e.g., do not copy from an OnQ hotel to a ProfitSword hotel).
