Use this workflow to link job codes from your payroll/timekeeping system (e.g., ADP, UKG) to Hotel Effectiveness positions so reports display accurate job titles instead of numeric codes.
Before you begin...
- Requires "Edit Settings" permissions.
- Requires TimeSync (automated data feed) to be active.
- Note: If your hotel uses PerfectTime, position mapping is performed automatically.
- Unmapped positions appear as "Unknown" or numeric codes (e.g., "23085793") in reports.
1. Access Position Mapping
- Hover over the Username Menu and select Settings.
- Under the "Positions/Departments" section, select 3rd Party Position Mapping.
- Select the specific Hotel from the dropdown menu.
- Tip: To update multiple hotels at once, select 3rd Party Position Mapping (Portfolio) instead.
2. Identify and Map Unmapped Positions
- To see only unmapped positions, click Show Only Unmapped. Otherwise, look for rows where the "Hotel Effectiveness Position Mapping" column is blank.
- Click the Edit button on the right side of the row.
- In the Hotel Effectiveness Position Mapping field, search for and select the matching internal position (e.g., "Front Desk Agent").
- Click Save.
3. Remap Historical Data (Required)
Mapping only affects future data. To fix past reports:
- Navigate back to the Settings menu.
- Select Remap Data on the "Positions/Departments" card.
- Select the Hotel from the dropdown.
- Set the From Date (go back 30 days or to the start of the issue).
- Set the To Date (today).
- Click Remap Data.
The Result
- Success: The "Unknown" position codes in your Labor Reports and Scheduler immediately update to display the correct Position Names for both historical and future dates.
If this fails...
- Note: If you cannot find a matching position in the dropdown (Step 2), you must first go to Position Setup and create the new position for the hotel.
- Note: If a code was typed incorrectly by an employee at the clock, you do not need to map it; it will remain "Unknown" for auditing purposes.
