Use this workflow to send login credentials to your staff via email, text message, or printed letter so they can access their schedules and timecards online.
Before you begin...
- Requires "Manage Employee Users for MyHotelTeam" permissions.
- Requires "Hotel Administrator" or "Account Administrator" status.
- Ensure you have employee email addresses or mobile numbers entered if sending digital invitations.
1. Access MyHotelTeam User Manager
- Log in to Hotel Effectiveness.
- Click Employees in the left main menu.
- Hover over MyHotelTeam User Manager in the top menu and select MyHotelTeam User Manager.
2. Option A: Send Invitations by Email or Text
- Scroll to Section 1: Employee Users Who Need to be Invited.
- Review the list. If contact info is missing, click Edit Contact Information, enter the email/phone, check the box for the invitation method, and click Save.
- Select the specific employees you wish to invite (or select all).
- Click Send/Print Invitations to All Selected Employees.
- Check the box next to Email or Text to indicate the delivery method.
- Click Yes, Please Send Now.
3. Option B: Print Paper Invitations Use this for employees without digital contact info.
- In MyHotelTeam User Manager, click the button Print Paper Invitations for All Employees Who Need to be Invited.
- Click Yes, Please Send Now.
- Download the generated PDF file.
- Print the individual pages and hand them to your associates.
The Result Success: The employees move to Section 2 (Invited). They receive a username, a confirmation code, and a link to set their password.
If this fails...
• Note: If an employee loses their invite, go to Section 2, find their name, and click Resend Invitation.
