Use this workflow to restrict a manager’s visibility to specific departments or position groups. This ensures managers see only the data relevant to their teams in the Labor Analyzer, Scheduler, and Reports.
Before You Begin
- Permissions: Requires Account Administrator or Hotel Admin permissions.
- Prerequisite: Ensure your departments are correctly configured in Settings > Department Setup before applying filters to users.
Step 1: Access User Permissions
- Hover over the Username Menu (top right) and select Settings.
- Locate the user you wish to edit and click Edit Permissions next to their name.
- Scroll to the Labor Management Permissions section at the top of the page.
Step 2: Apply Department Filters
- Locate the Department Filtering setting.
- Select the radio button for Filter on Specific Departments.
- In the selection box that appears, click the appropriate Divisions/Departments to move them into the "Assigned" box on the right.
- (Optional) If you need more granular control, click the blue Custom Position Group link to filter by specific groups of positions instead of whole departments.
- Click Save Changes.
Step 3: Configure Wage Visibility
If a department manager needs to see pay rates for their specific team:
- Set Can See Wages to Yes.
- Warning: You must ensure a Department Filter is active. If no filter is applied, the user will be able to see wages for the entire hotel.

To maintain data privacy, the system automatically applies the following restrictions to any user with an active Department or Position Group filter:

| Access Blocks | Filtered users are automatically blocked from Employee Manager, Hotel Labor Benchmarker, and Settings, regardless of other assigned permissions. |
| Wage Totals | Users cannot see total wages for the entire hotel on any page. They are limited strictly to their filtered view to prevent reverse-engineering of hotel-wide payroll data. |
| External Data | Access to External Data Access is disabled to ensure filtered boundaries are maintained. |
Success Check
- Success: The manager will now only see data for their assigned departments in the Daily Labor Check-in and Reports.
- Validation: Log in as the user (or use "Impersonate") to verify that non-assigned departments are hidden from view.
