Use this workflow to build accurate labor schedules based on your forecast and labor standards, then share them with your employees via MyHotelTeam.
Before you begin...
- Requires Can Access Scheduler and Add/Edit Shifts permissions.
- Must be logged into the Web Portal.
- It is recommended to complete the Forecast step first to generate accurate Labor Plan target hours.
The Steps
- Navigate to Scheduler > Schedule Employees.
- Select the desired Week using the date selector at the top left.
- Locate the specific employee row and day you wish to schedule.
- Click the empty cell (or the + icon) to open the Schedule Editor.
- Select a Shift Template (e.g., 7:00am - 3:00pm) or enter custom Start and End times.
- Select a Location or specific Position if the employee works multiple roles.
- Click Save to add the pending shift.
- Optional: Drag and drop shifts to different days or employees, or use Ctrl+C / Ctrl+V to copy and paste shifts across the grid.
- Click the Review & Publish button.
- Review warning flags for Overtime Risk or Scheduled vs. Plan variances.
- Select the specific Departments you wish to finalize.
- Click Publish.
The Result
Success: The schedule status changes to "Published." Shifts will lose their dotted "pending" border, and employees will receive a notification via the MyHotelTeam app.
Troubleshooting
If this fails...
- If you see a dotted border around a shift after publishing, ensure you selected the correct department checkbox during the final Publish step.
- If an employee is missing from the list, verify they have the correct Assigned Positions.
