Use this workflow to review, approve, or deny requests from employees to swap or offer their shifts to coworkers.
Before you begin...
- Requires Can Access Scheduler permissions.
- Must be logged into the Web Portal.
- The hotel must be subscribed to CoverageFinder.
- Ensure Shift Swap Settings are configured to require manager approval.
The Steps
- Navigate to Scheduler > Shift Swap > Shift Swap Requests.
- Select the desired Date Range and click Apply.
- Review the Shift Swap/Offer list to see the originating employee and the accepting employee.
- Hover over the Notes icon to view any comments entered by the employee.
- Review the Weekly Hours column to see the impact on total hours and any potential Overtime for both associates.
- Click Approve or Deny to the right of the specific request.
- Click Yes in the confirmation pop-up to finalize the action.
The Result
Success: The schedule is automatically updated to reflect the new shift assignments. Both employees will receive an automated notification via MyHotelTeam confirming the status of the request.
Troubleshooting
If this fails...
- If you do not see any requests, ensure employees have initiated them through the MyHotelTeam App.
- If a request is missing from the list, it may have Expired or been Canceled by the employee; check the Closed tab to verify history.
