Use this workflow to post unassigned shifts that eligible employees can claim via the MyHotelTeam mobile app, filling coverage gaps without manual phone calls.
Before you begin...
- Requires CoverageFinder subscription.
- Must be logged into the Web Portal.
- Employees must be activated in the MyHotelTeam app to receive notifications.
The Steps
- Navigate to Scheduler > Schedule Employees.
- Select the desired Week from the date selector.
- Change the view dropdown to View by Position. (Note: Open Shifts are hidden in Employee View).
- Locate the Open Shifts row for the position.
- Click the empty cell (or the + icon) for the desired date and position.
- Select the Start and End times.
- Click Submit to add the pending open shift.
- Click the Publish button once to review the schedule.
- Click Publish a second time to notify the team.
- Optional: If your Shift Swap Settings require approval, navigate to Scheduler > Shift Swap Requests to click Approve on employee claims.
The Result
Success: The unassigned shift moves from the "Open" row to the specific employee's schedule row and turns blue (assigned). The employee receives a push notification on their mobile device.
Troubleshooting
If this fails...
- If employees from neighboring properties cannot see the shifts, verify that Team Sharing is enabled in your hotel settings.
If the + icon is missing from the Open Shifts row, ensure you have Add/Edit Shifts permissions.
