Use this workflow to determine how much visibility and autonomy employees have when swapping or offering their shifts to coworkers.
Before you begin...
- Requires Edit Hotel Settings permissions.
- Must be logged into the Web Portal.
- The hotel must be subscribed to CoverageFinder.
The Steps
- Navigate to Scheduler > Shift Swap > Shift Swap Settings.
- Select to allow regular hourly employees to see other regular hourly employee schedules in MyHotelTeam.
- Optional: Adjust the Team Visibility to limit what associates can see in the app (Position, Department, or Entire Hotel).
- Select the Display Option for how employee names appear to their coworkers.
- Check the Swap Shifts box to allow an employee to trade a published shift directly with a coworker in the same position.
- Check the Offer Shifts box to allow an employee to "give away" a shift so it becomes visible to all qualified and available associates.
- Select whether Manager Approval is needed.
- If checked, trades move to Shift Swap Requests.
- If unchecked, the schedule updates automatically once a trade is accepted by a coworker.
- Click Save.
The Result
Success: The updated rules are applied immediately. Only Hourly employees will see these options; Salary and Contractor employees are automatically excluded.
Troubleshooting
If this fails...
- If the Shift Swap menu is missing from Scheduler, verify that your hotel has an active CoverageFinder subscription.
Note: Only Published shifts can be offered or swapped. Pending shifts with dotted borders are not visible to the team.
