Use this workflow to estimate future business volume (occupancy, revenue, and cleans), which determines the target "Plan Hours" needed for your staffing schedule.
Before you begin…
- Requires Edit Forecast permissions.
- Must be logged into the Web Portal.
- Ensure at least 8 weeks of historical data is loaded if you wish to use the automated system forecast.
- If using RevSync, data may auto-populate from your PMS or ProfitSword.
The Steps
- Navigate to Scheduler > Enter Forecast.
- Select your hotel and the desired Week from the dropdown and date selector.
- Review the Rooms Sold/Housekeeping Cleans section. If not using RevSync, enter your estimated Rooms Sold and Average Daily Rate (ADR) for each day.
- Note: Occupancy % and Rooms Revenue will calculate automatically based on these inputs.
- Review the Housekeeping Historical Mixes section to adjust the volume of specific clean types (e.g., Light Touch, Checkout, Deep Clean).
- Scroll down to the F&B and Other Data Forecast section.
- Enter values for specific Business Drivers such as Arrivals, Banquet Revenue, or Covers.
- Optional: Review the Business Driver Groups section to see calculated totals for specific departments (e.g., Total F&B Revenue).
- Optional: Click the Add Note button at the bottom of the page to provide context for specific volume adjustments.
- Click Save as in Progress to preview the impact on your Plan Hours without locking the data.
- Click Save and Approve to finalize the numbers for the week.
The Result
Success: The forecast status changes to "Approved." The system will now display accurate Plan Hours in the Schedule Grid, allowing you to staff according to labor standards.
Troubleshooting
If this fails...
- If the system forecast is missing, verify you have 8 weeks of historical data by running the Rooms Revenue Summary - History report.
- If RevSync data is incorrect or missing, do not approve the forecast; contact Support to verify the integration mapping.
Note: Clicking Save and Approve locks the week and stops any further automated RevSync updates for those dates.
