When you're adding a new hotel or group hotels, having correct time settings in place is vital to a smooth transition. This includes things like work week, overtime rules, and time card settings. Administrators are also able to update existing hotels when any changes occur, like a newly implemented holiday policy or change in work week.
These settings are available to view and edit in Hotel Effectiveness. Note that some users may not be able to access this section and/or edit the items here.
Accessing Time & Attendance Settings
- Log In
- Hover over 'Username Menu'
- Select "Settings"
- Navigate to the 'Time & Attendance' subheading
Many options outlined in this section specifically concern customers using Hotel Effectiveness Time & Attendance, but Pay Period/Timezone Settings, Earning Code Setup, and Overtime Settings affect all hotels.
Available Time Settings
The Time Settings Summary page allows you to quickly view all current Time & Attendance Settings in place for a selected hotel. Each subsection of this page has a standalone page in Settings where you can view more details and make edits. The description of each section is below.
Pay Period & Timezone - Displays current pay period, work week, and timezone of selected hotel.
Earning Codes - Displays the names of current earnings codes (like Regular, Vacation, Tips, etc.) that are present on hotel time cards.
Overtime - Overtime thresholds and rates currently in place. Paying 1.5 times any hours over 40 per week is most common, but some hotels require more stringent rules.
Note: the below rules only affect hotels using Hotel Effectiveness Time & Attendance. If your hotel uses a 3rd party for Time & Attendance, please disregard.
Clock Prompts - Details any item the employee is prompted to enter at the clock, like what position they are working or how many tips they collected during their shift.
Holiday - Details how employees are paid on holidays, which days are considered holidays at the hotel, and any restrictions on who is paid holiday pay.
Payroll Report - Payroll report in use for exporting hours to payroll provider as well as any instructions.
Timecard Settings - Details all additional Time & Attendance settings for time cards, including: rounding rules, formatting, and overnight rules.
Dept/Supv Security Filters - Lists all departments and supervisors available to use as Time & Attendant security filters. You can add new filters for each hotel and delete those no longer in use from this page.
Webclock IP Security Filters - Details all current IP Addresses in use for each hotel for Webclock security. Only hotels using Webclock and Hotel Effectiveness Time & Attendance will have IP addresses listed here. Leaving the IP filter blank will allow webclock enabled employees to clock IN from anywhere.
If your hotel shares employees across locations, it is possible that you may see the IP addresses in use at those sister hotels.
Note: Any changes with Time & Attendance can take up to one business day to take effect.
Copying Time & Attendance Settings from Existing Hotel to New Hotel
Many existing customers choose to copy all Time & Attendance settings already configured for one property onto any hotels that join their portfolio. To do this, navigate to the Time Settings Summary page in Settings and choose the hotel you would like to copy from in the 'Select a Hotel' drop down menu.
Note: If you only want to copy certain Time Settings over from an existing hotel, but not all settings, you can either copy all settings and edit from there, or navigate to the individual pages you wish to copy and just copy over those details.
Webclock IP Security Filters and Dept/Supervisor Security Filters do not copy between hotels using this feature.
- Log In
- Hover over 'Username Menu' and select "Settings" from the dropdown menu
- Navigate to the 'Time & Attendance' subheading
- Select "Time Settings Summary"
Review all settings in place on this page to confirm you want to use the same ones at the new hotel.
Once confirmed, select the blue 'Copy All of These Settings to Another Hotel>>' link at the top of the page.
Once there, you will be given a drop-down menu to select your new/target hotel you wish to update.
Keep in mind when doing this that you will delete any existing setup for the new 'Target Hotel' and replace them with the settings at the 'Source Hotel'.
Note: Any changes with Time & Attendance can take up to one business day to take effect.
