Check up on your property inside of Settings under the 'Hotel Information' tab. Here are three usage reports and a page flagging hotels needing attention. In the usage reports, you can view if your hotels have current punches, up-to-date Night Audit Entry, and how engaged your managers are with Daily Labor Check-In and Scheduler.
These reports are handy when monitoring usage of existing hotels and the set up of brand new properties.
How Do Usage Grades Work
Every hotel is able to get 4 'points' each day based on the below criteria.
- Actual Punches: Is the time clock sending Hotel Effectiveness actual punches for the day? If Yes, the hotel earns a point.
- Night Audit Entry: Does the hotel have Night Audit Entry for the day? If Yes, the hotel earns a point.
- Daily Labor Check In: Does the hotel have Daily Labor Check In completed for the day? If Yes, the hotel earns a point. Note: Since most managers work 5 days per week, the hotel can have 5 of 7 days Check In's completed at the hotel and still achieve a perfect grade.
- Scheduler: Does the hotel have at least 50% of the forecasted hours scheduled for the day? If Yes, the hotel earns a point.
The Usage Grades - Details and Usage Grades - Snapshot pages will display each of these items by day. Any items that meet the above criteria will appear with a green check mark; otherwise, it will appear with a red 'x'.
Usage Grades - Letter Grades
The Usage Grades - Summary report displays letter grades. These letter grades are based on how many points the hotel was eligible for in the date range and how many it earned by percentage.
If any hotel's percentage falls 'between' letter grades (96% is listed with A+ and A), then the system will display the higher grade (A+).

For example, for a one week period, the hotel is eligible to earn 28 points (7 days x 4 points). If the hotel earned 26 points their overall grade for the week would be a A- (26 / 28 = 92.9%).
This also applies to each criteria's grade (Punches, Night Audit, Daily Labor Check In, and Schedules). For example, for a one week period, the hotel is eligible to earn 7 points for Scheduler (7 days x 1 point). If the hotel earned 6 Scheduler points their Scheduler grade would be a B (6 / 7 = 85.7%).
Usage Grades - Refresh Schedule
Usage grades are evaluated and rebuilt for the last 8 days periodically throughout the day (at 4am, 3pm, and 10pm ET).
If you complete a Daily Labor Check In for yesterday at 9am ET, your hotel's grade will adjust at 3pm ET.
If you complete a schedule for more than 8 days ago, your hotel's grade will not adjust.
Usage Grades - Summary
The Usage Grades Summary page provides an overview of how hotels within your portfolio are performing.
Four items contribute to the overall grade seen here:
- Punch Data: Grade reduced if no punches are coming across from Time & Attendance.
- Night Audit Entered: Perfect score if Night Audit Entry is completed through yesterday. Grade reduced if Night Audit Entry hasn't been completed during date range.
- Daily Labor Check-In: Perfect score achieved by 5 manager check-in's per week. Grade reduced when entry is less than 5 per work week.
- Scheduler: Grade reduced when schedules are missing for some departments in Scheduler. Any days with less than 50% of the forecasted hours scheduled will decrease the hotel's grade.

- The dates displayed will default to the last 30 days, but you can change the date range using the date boxes at the top of the page.

Usage Grades - Details
While the Usage Grades - Summary page displays all hotel information and average grades across your portfolio, the Details page allows you to drill down and see exactly where there have been failings concerning the following:
- Punch Data
- Night Audit Entry
- Daily Labor Check-In
- Schedules
This page will default to the last 30 days, but you can change the report dates at the top of the page.
Usage Snapshot
The Usage Snapshot page allows administrators to quickly view each hotel's participation with Hotel Effectiveness. Each column represents seven days of activity for the following:
- Actual Punches
- Night Audit Entry
- Daily Labor Check-In's
- Employee schedules
Days with data will display a green check mark, days without will display a red 'x'.
The report looks back over the last seven days by default, but you can change the date of look back using the date box at the top.
