What is Inventory Horizon?
Inventory Horizon combines your hotel’s forecast, along with Room Attendant labor plans and schedules, to provide insights on your upcoming inventory and whether your team will be set-up for success with enough available rooms.
- Know in advance when Room Attendant schedule adjustments are necessary.
- Streamline schedule adjustments when needed with essential information and clear solutions. Review and select from a list of associates who can be added to upcoming schedules.
Viewing Inventory Horizon
To access Inventory Horizon:
- Select Housekeeping Tools on the left main menu in Hotel Effectiveness.
- Mouse over Inventory Horizon on the top menu.
- Select Inventory Horizon.
The dates you see on the calendar are based on the hotel’s work week (i.e.: Mon-Sun, Sun-Sat, etc.). The first view of Inventory Horizon for the day will prompt you to indicate how many rooms were rolled yesterday, if any. You can update this later, if needed, by selecting Change/Edit under Today.
Each day will show whether the number of room attendants scheduled:
- Is On Target
- Is Not Enough for Arrivals
- Is Enough for Arrivals
- Is Possibly Overscheduled
Additionally, each day will show:
- The number of rolled rooms anticipated
- How many clean rooms anticipated to be available, on top of the number of rooms forecasted to be sold
Selecting a day will provide additional information about the day which will display below the calendar. This is broken down into three tabs: Housekeeping Action Plan, Team Schedule, and 14 Day Planner.
Housekeeping Action Plan Tab
The section on the left allows you to view the numbers that are determining whether you are On Target or not. These numbers are pulled from your Forecast Data. You can edit Guest Departures and the Estimated Stayovers/Other Cleans from here. Any edits you make to the number of cleans in this section will not affect the Forecast in Scheduler. However, changes made to the Forecast in Scheduler will appear here.
The section on the right will give you an Action Plan. In this section, you can see the number of room attendants needed for Arrivals, the number of room attendants needed to clean All Dirty Rooms, and the number of room attendants Scheduled. If you do not have enough room attendants scheduled to cover arrivals or clean all dirty rooms, the action plan will give you options on schedule adjustments to make to be in line with hotel needs.
To make scheduling adjustments easy, you have the option to Quick Add Shifts to Schedule. Selecting this option shows any unscheduled Room Attendants. This would include anyone with the Room Attendant position assigned to them in their Employee Profile and not already scheduled for the selected day.
On this screen, follow these steps to add shifts to the schedule:
- Review the Action Plan.
- Select the Shift.
- Check the box to the left of the room attendant you want to add to the schedule.
- View information for each unscheduled room attendant such as their Name, Employee Type, Home Position, Recent MPR Variance (last 14 days), Recent Show Up Rate (last 14 days), and Weekly Scheduled Hours (scheduled only, does not combine worked hours with remaining scheduled hours) to help determine which room attendant to schedule.
- Select the Publish New Shifts option in the bottom left if you want the selected shifts to be published when you add the shifts to the schedule.
- If Publish New Shifts was selected, these shifts will be added to the schedule as already published.
- If Publish New Shifts was not selected, these shifts will be added to the schedule as pending.
- Publishing Shifts makes them appear in MyHotelTeam and notifies employees of new schedule changes. Only employees active in MyHotelTeam may view published schedules.
- Select Add Shifts to Schedule.
If you would rather adjust the schedule from Scheduler, selecting Go to Scheduler to Edit Schedules will bring you to the Schedule Employees page in Scheduler for you to adjust schedules from there.
Team Schedule
The Team Schedule tab allows you to view the entire housekeeping team that is scheduled for the day broken out into Scheduled Room Attendants and Other Housekeeping Schedule. You have the options to Quick Add Shifts to Schedule as well as Go to Scheduler to Edit Schedules if you need to adjust the schedule. Other areas in this tab include Cleaning Time Risk and Show Up Risk.
Cleaning Time Risk is based on room attendant Recent MPR Variance (the number of minutes the employee was over or under cleaning targets for the last 14 days). Selecting View Details will give you more information on the Cleaning Time Risk.
Show Up Risk is based on the Recent Show Up Rate (based on how often the employee clocked in at the hotel on days they were scheduled for the last 14 days. If the employee worked on days they were not scheduled, then those days are not included in the calculation). Selecting View Details will give you more information on the Show Up Risk.
14 Day Planner
This tab gives you a view of all the metrics that are being taken into consideration when Inventory Horizon is being calculated. Selecting Display All Fields will expand the section to show additional data. There are also a few areas that can be modified. Editing the numbers here will not update the Forecast in Scheduler. However, changes made to the Forecast in Scheduler will appear here.
Additional Options
- Subscribe to Email – At the top of page, you will see an option is Subscribe to Email. Selecting this option will bring you to the Inventory Horizon Email Alert subscriptions option page where you can set up when you would like to receive the Email Alert. The Email Alert will show the Inventory Horizon for two weeks.
- En Español – Selecting this option will switch the language in Inventory Horizon to Spanish.
- Inventory Horizon (Portfolio) – You can access a portfolio view of Inventory Horizon by hovering over Inventory Horizon at the top of the page then selecting Inventory Horizon (Portfolio).
