Unprocessed punches are "floating" punches received by your time clock but not yet assigned to any particular employee. This usually results from new hires that have not yet been set up in Employee Manager or employees incorrectly entering their Punch PIN/Webclock Username on the time clock or incorrectly enrolled finger/hand prints. If your hotel uses proximity badges, unprocessed punches can also be caused by incorrect or missing badge numbers on the employee's profile.
Unprocessed punches will most likely result in missing punches. Before you edit any missing punches, it is a good practice to visit the unprocessed punches page and see if you can match one or more of them to your employees.
Below are the step-by-step instructions to reassign unprocessed punches in your account. You must have full access within your hotel to see these sections.
Navigating to Unprocessed Punches
Unprocessed punches are evident and indicated by a message when you access Quick Links and select Time & Attendance. You can also access the page by going to Time & Attendance, selecting Administration, then selecting Unprocessed Punches.
Reviewing Unprocessed Punches
The Unprocessed Punches page will display a list of all punches that need to be either assigned to an employee or deleted from the system. You will need to put on your "Detective Hat" to deduce to whom each punch belongs. The method of determining the proper placement of the punch begins by clicking on the entry number in blue.
Note: Please do not delete unprocessed punches of your fellow hotels if your account holds more than one hotel.
In punches will often capture position codes as well as the date and time. This can help you identify which employees are punching with incorrect or are missing Employee codes on their setup.
If it is the case that the employee is punching with the correct code and their employee setup needs to be changed; all punches will associate with the employee once their setup is updated. After their setup changes are saved, you will need to reprocess the affect punches.
Updating Unprocessed Punches
Once the punch is selected, best determine to whom the belongs by comparing the provided punch ID# with employees from the drop-down list, which also includes the Punch PIN/Webclock Username for each employee. If a match cannot be determined from the provided list, the employee either has not yet been entered into the system or the punch may have been an unintended mistake and can be deleted--provided there is no missing punch on any timecard.
To complete the match, select the desired employee from the list and save the changes. Repeat this process in order to resolve all unprocessed punches.
Reprocessing All Punches
Select Reprocess All and the system will re-assign the unprocessed punches to the employee(s) of your choice.
